The Preconstruction Process in Northwest Ohio | What Homeowners Don’t Always See

When most people think about starting a remodeling project, they picture demo day.

The dust. The excitement. The visible progress.

But the truth is – the success of your project is determined long before demo ever begins.

At Kleeberger Contracting Services, we believe the real work starts in preconstruction. This is where we slow down, plan intentionally, and make sure every detail is thought through before anything is torn out.

Because the more we plan upfront, the smoother everything goes later.

Here’s a behind-the-scenes look at what actually happens before demo day.

1. Scope Discovery: Understanding Your Vision

Every project starts with a Scope Discovery appointment.

This is where we:

  • Walk through your space
  • Talk through your goals, frustrations, and ideas
  • Discuss layout changes and possibilities
  • Begin aligning on budget expectations

This step is about more than measurements – it’s about understanding how your space needs to function for your everyday life.

We’re not just asking, “What do you want?”
We’re asking, “How do you want this space to function in your everyday life?”

2. Rough Design & Initial Pricing

After the walkthrough, we begin putting together:

  • A rough design direction
  • An initial estimate based on your scope and budget

At this stage, we’re using informed assumptions about finishes and materials to help answer a key question early:

👉 Are we aligned on overall vision and investment?

This gives you a realistic starting point before diving deeper. fewer surprises later.

Curious about what to look for in an estimate? Read more about that here.

3. Proposal Review

Next, we meet for a Proposal Review. This is done either on Zoom or in person.

This is where we:

  • Walk through the initial estimate together
  • Talk through scope, assumptions, and priorities
  • Answer questions and make adjustments as needed

This step ensures everyone is aligned before moving into more detailed planning.

4. Preconstruction Agreement (PCA)

Once you’re ready to move forward, we enter into a Preconstruction Agreement.

This is where your project shifts from concept into detailed planning.

During this phase, we:

  • Begin refining layouts and details
  • Prepare for selections
  • Coordinate next steps in the process

This is a critical phase that allows us to slow down and get things right before construction begins.

5. Material Selection Meeting

After signing the PCA, we move into your Material Selection Meeting.

This is where your project really starts to come to life.

We work through:

  • Cabinetry
  • Tile and flooring
  • Fixtures and finishes
  • Lighting and design details

Your selections play a major role in both the final look and the final cost of your project.

6. Final Selections & Design Details

Following your selection meeting, we:

  • Finalize all materials
  • Refine design details
  • Confirm layout decisions
  • Ensure everything is clearly defined

This step removes guesswork and allows us to move forward with confidence.
👉 Clear communication
👉 A smooth, well-prepared start

7. Formal Proposal (Refined & More Accurate)

With selections finalized, we present your Formal Proposal.

This is a more detailed and accurate version of your estimate—because it’s now based on:

  • Actual material selections
  • Fully defined scope
  • Refined project details

This is one of the biggest differences in our process.

We’re not just giving you a number—we’re giving you a number that reflects what your project will truly require.

8. Ordering Materials & Scheduling the Project

Once your proposal is approved, we move into:

  • Ordering materials at the right time
  • Coordinating suppliers
  • Scheduling trade partners
  • Mapping out your project timeline

This ensures everything is ready before demo day arrives.

Why This Process Matters

Anyone can show up and start demo.

But not everyone takes the time to plan a project this thoroughly beforehand.

At KCS, we believe:
A successful remodel isn’t just built on-site — it’s built in the planning.

This process helps:
✔️ Reduce surprises
✔️ Improve communication
✔️ Keep projects running smoothly
✔️ Create a better overall experience
